 The opportunity

We are looking for One (1)  Executive Assistant  in Oyu Tolgoi LLC – Underground Operations Department based Oyu Tolgoi Site with 50/50. This role is 1-years fixed term contract.

The purpose of this role is to provide services and support to executives and clerical the functional unit in line with the company policies and procedures to achieve the team’s objectives and targeted plan.

What the role entails:

  • Provides secretarial/administrative support directly to executives, exercising confidentiality, tact and diplomacy.
  • Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, meeting minutes, etc; may prepare responses to routine correspondence and inquiries.
  • Receives, screens and directs incoming calls, visitors, mail and e-mail.
  • Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements, and tracks expenses.
  • Participate in the implementation of administrative standards, policies and practices for the organization.
  • Manages the calendars to ensure meeting commitments are met timely by:

–           Ensure immediate management is prepared and briefed for all meetings and functions, this includes the preparation of a schedule that may include briefing notes, the collation of any papers or required reading in a timely manner.

–           Ensure forward planning is undertaken so that key events and activities are scheduled on applicable calendars.

  • Plan and organize VIP visits including UG visits, Celebration events and town hall meetings in collaboration with Comms team.
  • Book international and domestic travel for General Manager and Senior Area Managers
  • Perform other tasks assigned by Leadership team.

What you will need for this role

  • Undergraduate or equivalent or higher education obtained through degrees or diplomas from academic college or universities.
  • Business Administration or a discipline relevant to the performing function.
  • At least 5 years relevant experience, or otherwise the significant practical experience and on the job training.
