The Oyu Tolgoi Catalyst Fund for Khanbogd Development (OTCF) was established to develop and catalyze investment in the Khanbogd Soum. Oyu Tolgoi LLC (OT) will contribute US$50 million over the next 5 years to implement elements of the Khanbogd Soum Center ‘Master Plan’, a comprehensive community development plan made in collaboration with Umnugobi government, Khanbogd Soum government, OT and Ministry of Construction and Urban Development (MCUD) of Mongolia.
The OTCF is a registered and independent non-profit legal entity. Its purpose is to support and facilitate the development of Khanbogd Soum center to evolve into a sustainable town with a safe and family-oriented atmosphere and improve the wellbeing and quality of life of the local community.
The opportunity
We are seeking one (1) Administrative Manager responsible for supporting day to day operational and administrative activities of Oyu Tolgoi Catalyst Fund for Khanbogd Development (OTCF). The Administrative Manager will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records.
Primary Duties and Responsibilities
The Administrative Manager is responsible for the following tasks, but not limited to:
- Managing office supplies stock and placing orders,
- Negotiating admin related contracts and agreements with contractors and suppliers.
- Maintaining and updating company database
- Organizing a filing system for important and confidential company documents
- Answering queries by employees, stakeholders and business partners
- Developing and improves processes and policies of administrative activities as needed.
- Maintaining a company calendar and scheduling appointments
- Booking meeting rooms, and taking meeting notes as required
- Distributing and storing correspondence (e.g. letters, emails and packages) and administration of documentation as per OTCF protocols
- Assisting in preparing reports and presentations, as assigned
- Assisting with special projects, such as process improvements and budget development.
- Arranging travels, transports, accommodations and catering as required
- Organizing in-house and external events
- Performing additional tasks as needed
Requirements
- University degree or extensive work experience on the job
- 3 or more years of professional experience as an Administrative officer or similar roles
- Able to work in Khanbogd soum by a short period in case of the project activities
Knowledge, skills and abilities
- Proven work experience as an Administrative Officer, Administrator or similar roles
- Solid knowledge of office procedures, and be able to develop one
- Experience with MS Office (MS Excel and MS Word, specifically)
- Strong organizational skills with a problem-solving attitude
- Excellent written and verbal communication skills both in English and Mongolian
